Finding and exporting your ADP data
ADP products use different reporting menus. RUN and Workforce Now both support report-based counts, but the report type and date filters determine what history is included.

What it holds
ADP systems contain employee or contractor profiles and payroll transaction history. Depending on the subscribed product, time and absence records may also be present.
Where ADP shows the size
- In RUN, open Reports > Custom Reports > Create New Custom Report and choose Employee or Contractor Profile Data.
- Include status and employment dates, then Run report > View Online and count unique people.
- Create a Payroll Transaction data report and use Filter Your Report to replace the last-payroll default with the full period.
- In Workforce Now, use Reports & Analytics for equivalent full-population employee and payroll-history reports.
Plan and admin role. Use a reporting administrator authorised for every relevant employee and payroll period. RUN report instructions should not be treated as Workforce Now menu paths.
Exporting the full history
- In RUN, execute each report, open View Online and export CSV or Excel.
- In Workforce Now, run the corresponding reports and export to Microsoft Excel.
- Save report definitions and retrieve separate datasets for each required record type.
RUN previews contain only five rows; count the executed report instead. Payroll fields require the payroll report type, not a profile or paid-time-off report.
Neither product supplies a single whole-account export; confirm historic coverage and distinguish payroll runs from transaction lines.
Only record counts are needed for a data inventory. Individual HR files, salaries, bank details, tax identifiers and identity documents are excluded from licensing; any internal preservation archive must remain private and access-controlled.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
