What it holds

Box holds files and folders owned by managed users, together with collaboration and sharing information. Version histories, comments and held content may also exist, but their availability depends on the export method and governance settings.

Where Box shows the size

  1. Sign in as an Admin or Co-admin and open the Admin Console.
  2. Open Account and Billing; the Usage section shows total storage and any limit.
  3. Check the Storage tile under Insights for a closer look.
  4. For each user, run the User Engagement report from Reports. It lists storage in MB and the number of files and folders owned, excluding trash.
  5. Total the storage column and divide by 1,024 if you want to cross-check.

Plan and admin role. Admins and Co-admins. Group Admins can't run the User Engagement report.

Exporting the full history

  1. In the Admin Console, open Content Manager and look up a user to see their folders.
  2. Select folders and download them as a ZIP.
  3. Repeat for each user who owns content. For very large folders, split them or script the download with the Box API.
  4. With Box Governance, open a legal hold on a custodian and use Export Content, filtered as needed.

Browser downloads are recommended below 10,000 files and around 25 GB; empty folders are dropped.

Content Manager only gives the latest version of each file and nothing from trash.

The largest single file allowed depends on the plan, from 5 GB on Business to 500 GB on Enterprise Advanced.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
