What it holds
Calls and their recordings are retained alongside texts, chats, submitted forms and visitor-session records. Transcripts are present only where the account plan supplied transcription.
Where CallRail shows the size
- Use a login covering every company and open Call Log.
- Set the range to the retained 25-month period and export it.
- Total durations only for recorded calls and divide seconds by 3,600; larger accounts can query recording duration or monthly summaries through the Calls API.
Plan and admin role. All listed current plans include call recording: Lead Tracking, Lead Tracking Complete, Lead Conversion and Lead Conversion Complete. Account coverage depends on the login’s company access.
Exporting the full history
- Export Call Log across the full available 25-month history.
- Page through the Calls API with up to 250 calls per page and request the recording field.
- Follow recording links to save MP3 files, spreading requests across the permitted API budget.
Calls, recordings, texts, chats, forms and web visitor sessions are deleted 25 months after creation.
API quotas are 1,000 requests per hour and 10,000 per day; plan large media pulls accordingly.
Do not assume transcription exists for every recorded call.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
