What it holds
Dropbox holds team folders, member-owned files and shared documents across connected devices. Versions and deleted items may remain recoverable for a limited period, depending on the team’s plan and retention settings.
Where Dropbox shows the size
- Sign in to dropbox.com with an admin account.
- Open Admin console and read Storage details on the dashboard: largest folders, usage over time and top members.
- Choose See all members for each person's exact usage.
- For folder detail, go to Products, Dropbox, Content and export the storage report.
- The CSV appears in your Dropbox Business reports folder with path, folder type, size in MB, owner and file count.
Plan and admin role. Standard, Business, Advanced, Business Plus and Enterprise teams. Team, User management, Reporting, Security, Support and Compliance admins can run the report.
Exporting the full history
- For everything, install the desktop app on a machine with enough disk space and sync the team folders you need.
- Smaller folders can be downloaded from the website as a ZIP if they are under 250 GB and 10,000 files.
- To reach one member's files on Advanced and above, use Log in as member from the Members page.
- For people who have left, open removed members and transfer their files to an active account.
- With the Data Governance add-on, place a legal hold on the members in scope and export the held files.
A removed member's files can be transferred once, to one person, and only within your version history period.
The Data Governance add-on extends version history to ten years.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
