Finding and exporting your Microsoft Dynamics 365 Business Central data

Business Central online exposes record totals and storage by table. A database export preserves tenant business data but is a separate administrative process from viewing these counts.

What it holds

Business Central contains ledger entries, sales and purchasing documents, inventory and related master data. Each company can have its own records within an environment.

Where Microsoft Dynamics 365 Business Central shows the size

  1. Use the search icon to open Table Information.
  2. Filter Company Name where necessary and read No. of Records for the relevant tables.
  3. Keep each table total distinct; Size (KB) includes both data and indexes, not just business content.

Plan and admin role. Table Information permissions must be checked with the Business Central administrator. Database exports require a paid subscription and an internal or delegated administrator with D365 BACKUP/RESTORE in the environment.

Exporting the full history

  1. Create an Azure Standard general-purpose v2 storage account and a Blob service SAS URL valid for at least 72 hours. Include Container and Object resource types and Read, Write, Delete and Create permissions.
  2. In the administration center, select Environments > the environment > Database > Create Database Export.
  3. Provide File Name, SAS URI and Container Name, start the export, then collect the BACPAC from Azure storage.

Each environment permits up to 10 database exports monthly; premium Azure storage is unsupported.

The BACPAC contains tenant business data, not the shared application database. Related tables overlap conceptually, so their summed rows are not a unique transaction count.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
