Finding and exporting your Freshdesk data
Freshdesk volume is best measured in tickets. Search the full creation-date range with an administrator’s API key so restricted agent visibility does not reduce the count.

What it holds
Freshdesk maintains support tickets with replies and private notes. The wider account also contains customers, solution articles and forum material.
Where Freshdesk shows the size
- Call /api/v2/search/tickets with an agent API key and a created_at date range, preferably using an administrator’s key.
- Read total from each response and add non-overlapping yearly totals.
- Avoid treating the default List All Tickets response as a lifetime count: it only includes the last 30 days by default.
Plan and admin role. Ticket searches are limited to the API key owner’s visibility. Only the Account Administrator can initiate the account export. Published plan guidance conflicts, so confirm full-export eligibility with support.
Exporting the full history
- As Account Administrator, open Admin > Account > Account Details > Export data.
- Start Export and download the compressed XML file from the email sent to that administrator.
- For per-ticket replies and private notes, use the API conversations endpoint where needed.
The account archive contains ticket content, solution articles, forums and customers; XML may need conversion for downstream processing.
One help article lists Free, Growth, Pro and Enterprise export access, while another restricts the complete export to Pro and Enterprise.
Conversation API requests have hourly limits that depend on the subscription.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
