Finding and exporting your GoHighLevel data
Count contacts through the agency Sub-Accounts report, then export each location separately. Measure the retained history across the relevant record types, not just the current working list.

What it holds
Sub-accounts retain contacts and pipeline opportunities with their selected fields. Notes, conversations and workflow communication history may also exist, but the standard contact CSV does not carry past email and SMS activity.
Where GoHighLevel shows the size
- At agency level, open Sub-Accounts > Export Report.
- Select recipients, run Export and retrieve the emailed CSV within seven days.
- Read Contacts for each relevant sub-account and add opportunity counts from location exports; without agency access, count a full Contacts > Smart Lists export.
Plan and admin role. The agency report requires access to Sub-Accounts. Completed contact files can be downloaded only by Agency Admins or Location Admins.
Exporting the full history
- Within a sub-account, open Contacts > Smart Lists, select the header checkbox and choose Select All Contacts.
- Set Manage Fields to expose every required column, then use More > Export and confirm.
- Download the completed CSV under Bulk Actions before its 30-day expiry.
- In Opportunities, open the top-right three-dot menu and select Export Opportunities; repeat both exports for other sub-accounts.
Only visible contact columns are exported, and notes are truncated beyond 255 characters.
Contact CSVs omit workflow history, past emails and SMS logs. Use the HighLevel API for message history; no documented bulk conversation export is provided.
Voice AI call logs support CSV export.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
