Finding and exporting your Gong data

Use Team exports for volume and combine call metadata exports with API transcripts. Use recorded audio duration rather than total call activity when measuring the archive.

What it holds

Recorded conversations carry call metadata, duration, word counts and analytical information. Transcripts and audio are distinct from CSV analytics, and library folders may retain calls beyond the normal retention policy.

Where Gong shows the size

  1. Open Insights > Team and expand filters and dates to the company-wide period.
  2. Choose Export, retain DATE RANGE and select SEND REPORT TO EMAIL.
  3. Total Total Call Duration (min) and divide by 60; read Total Call Volume for count, remembering disabled members are excluded.

Plan and admin role. Export reports to CSV permission is needed on any plan. API key creation and Data Cloud sharing require a tech admin.

Exporting the full history

  1. In Conversations > Search, filter calls and choose More actions > Download call data > Send report via email.
  2. Have a tech admin create credentials at Admin center > Settings > API > Get API key.
  3. Use the API for call data and transcripts; confirm the recording retrieval route separately because CSVs do not contain audio.
  4. If licensed for Data Cloud, configure daily sharing to Snowflake, BigQuery, Databricks, S3 or Redshift.

Default retention is the shorter of three years or the customer relationship; data is removed 30 days after departure.

Library-folder calls can survive the limit unless the admin applies retention to the library. Purged calls are unrecoverable.

API limits are three requests per second and 10,000 per day.

Call-data CSVs provide metadata, analytics and call links rather than media files.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
