Finding and exporting your Gusto data
Gusto volume is established through employee, payroll and optional time reports. Count each dataset separately and distinguish payroll runs from employee-level payroll lines.

What it holds
Gusto holds employee profiles, payroll calculations and employment history. Enabled time-tracking features add time entries; payroll and identity fields remain sensitive and access-controlled.
Where Gusto shows the size
- As Primary admin or an admin with reporting permissions, open Reports.
- Run employee information with former employees included and count unique employees.
- Run Payroll Journal from the first payroll onward; identify unique payroll runs separately from detail rows, and count time entries if applicable.
Plan and admin role. Primary admins and reporting-enabled admins can use Reports, but visible fields still depend on their permissions. Ask the Primary admin to expand authorised report access when needed.
Exporting the full history
- For an approved internal archive, export employee information with former staff as CSV or Excel.
- Export Payroll Journal year by year, and any required time reports, using the same scope.
- Save customised report definitions so fields and filters can be reproduced.
Gusto has no one-click whole-account archive; most report downloads support PDF, CSV or Excel. Earlier-provider history exists only if imported.
Only record counts are needed for a data inventory. Individual HR files, salaries, bank details, tax identifiers and identity documents are excluded from licensing; any internal preservation archive must remain private and access-controlled.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
