Finding and exporting your NetSuite data

NetSuite separates record counts from File Cabinet storage. Administrator-run searches reduce permission gaps, but transaction searches still need a clear choice between document and line-level counts.

What it holds

NetSuite brings together financial transactions, customers, suppliers, stock items and operational records. File Cabinet documents and saved reporting definitions form separate parts of the account.

Where NetSuite shows the size

  1. As Administrator, open Lists > Search > Saved Searches > New and choose a record type.
  2. Set the historical scope, save and run, then use Export - CSV; count unique transaction IDs for document counts.
  3. Repeat for other record types separately. Read File Cabinet Size (GB), Current Used Quantity, under Setup > Company > View Billing Information for file storage.

Plan and admin role. Full CSV Export requires Administrator. Search results and SuiteAnalytics Connect queries remain limited by the executing role; Connect must also be provisioned and enabled.

Exporting the full history

  1. Open Setup > Import/Export > Export Tasks > Full CSV Export and submit the job.
  2. Save the resulting download as a ZIP; if it fails or times out, export individual lists, reports and searches.
  3. For broader historical extraction, use record-specific saved searches or enable SuiteAnalytics Connect at Setup > Company > Enable Features > Analytics.

Full CSV Export covers selected lists and reports, not all account data or File Cabinet files; selected list views influence output. A failing saved search can fail the export.

Connect supplies read-only ODBC, JDBC or ADO.NET access. Confirm current data-source availability and entitlement before designing a bulk extraction.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
