What it holds
A workspace can contain operating procedures, specifications, meeting notes and linked project databases. Uploaded documents and media often account for more bytes than the written pages.
Where Notion shows the size
- On desktop or web, confirm the workspace owner role under Members.
- Open Settings > Workspace > General > Export all workspace content. Choose Markdown & CSV and include files and images.
- Download the emailed archive and measure its extracted folder in MB. Enterprise owners can also use Settings > Analytics > Content for page counts and a CSV inventory.
Plan and admin role. Workspace owners initiate workspace exports on web or desktop. Analytics requires Enterprise; owners have access to all analytics tabs.
Exporting the full history
- Give the exporting owner access to all intended teamspaces; private pages belonging to other members may remain inaccessible.
- Use Settings > General > Export all workspace content and select Markdown & CSV or HTML, including uploads.
- Allow up to 30 hours for preparation and download the emailed ZIP within seven days. Keep the index.html sitemap with the exported files.
An export covers accessible content, not necessarily the entire company workspace. Database rows become CSV data with associated page files.
Form views are omitted; Markdown may contain HTML for callouts. Choose HTML when comments are required.
Do not rely on workspace PDF export: its retirement was phased through August 31, 2026. Exported files cannot recreate a workspace through a single reimport.
There is no built-in scheduled backup; repeatable API extraction requires access to the relevant pages and databases.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
