What it holds

Deals, leads, people, organizations, activities and notes preserve the relationship and sales history. Products, projects and file records can be exported as additional item types, alongside ownership, custom fields and record links.

Where Pipedrive shows the size

  1. Use a global admin to avoid visibility-group exclusions.
  2. In Deals list view, clear filters and open the i icon beside sync to read the deal total.
  3. Export other relevant item types and count data rows, excluding headers.

Plan and admin role. Global admins can see all items and use the Export data tab. Other users require Export data from list views and remain constrained by visibility groups.

Exporting the full history

  1. Open the account menu and select Tools and apps > Export data.
  2. Choose an item type and CSV or Excel, then generate its export.
  3. Use the cloud icon under Generated exports to download it and repeat for every needed type.

Generated downloads expire after 28 days.

Type exports include standard, custom and system fields, ownership and linked records; a restricted user export is not a company-wide inventory.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
