What it holds

Projects contain tool-specific histories such as RFIs, submittals, observations and daily logs. Document and photo libraries, plus item attachments, form additional retained project content.

Where Procore shows the size

  1. With company Portfolio Admin permission, open Portfolio and include active and inactive projects.
  2. Use the project-list vertical ellipsis > Export > CSV and count project rows.
  3. Inspect representative project tools for item totals, clearly separating any extrapolated estimate from exact project counts.

Plan and admin role. Portfolio Admin sees all company projects; Read Only sees assigned projects. Extraction requires Admin on each selected tool.

Exporting the full history

  1. Install Procore Extracts on Windows, sign in and select the company and an active project.
  2. Select tools and attachment inclusion, then Extract; keep the machine online and powered on.
  3. Repeat for all projects, arranging reactivation or support handling for inactive projects.

Extracts handles one active project per run and produces project/tool folders, usually with PDF items and original-format photos/documents.

Project Archive, previously Data Extracts 2.0, provides project ZIPs with Admin access.

No published Documents storage meter is available; request company storage figures from the account manager.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
