What it holds
Call logs retain call metadata and duration, while available recordings hold the audio itself. Archiver can preserve recordings, voicemail, text messages and faxes in connected storage beyond the platform recording window.
Where RingCentral shows the size
- As an administrator, choose Admin Portal and open Analytics & Logs > Call Log.
- Change the default seven-day range, switch to Detailed and identify calls marked in Recording.
- Download the CSV and sum durations only for recorded calls; divide seconds by 3,600 for hours.
- For context, run Company Numbers or user/queue Performance Reports in Analytics without treating all talk time as recorded audio.
Plan and admin role. Company call-log access requires an administrator role such as Super Admin. Analytics depends on RingEX plan and permissions; Advanced and Ultra include the listed analytics and Archiver capabilities.
Exporting the full history
- Export Detailed Call Log CSVs for the needed dates, using monthly batches for large histories.
- Choose Recording Calls in the download options to retrieve MP3s.
- For ongoing preservation, enable Admin Archiver at More > Account Settings > Archiver Settings.
- Open More > Apps and Resources > Archiver, connect Box, Dropbox, Google Drive, Smarsh or SFTP, and include all extensions.
- For a bulk API job, list calls and download recording content links with rate-aware pacing.
Recordings expire after 90 days. Always-on recordings also have a 100,000-per-account cap, and on-demand recordings a 200-per-user-mailbox cap.
Call-log retention is normally 12 months but nine months on some accounts.
Once enabled, Super Admin and Manager can archive company-wide; custom roles need company call-log recording/download permissions.
Recording API downloads have a separate throttling group; missing expired audio cannot be recovered by exporting the log.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
