Finding and exporting your Microsoft Teams recordings data

Teams recordings are stored as files in OneDrive or SharePoint. There is no consolidated recorded-hours report; use actual durations where possible or estimate one hour per roughly 400 MB of recording data.

What it holds

Meeting videos are kept as MP4 files, with transcripts available separately. Scheduled meeting recordings normally belong to the organizer’s OneDrive, while channel meeting recordings belong to the team’s SharePoint site.

Where Microsoft Teams recordings shows the size

  1. Use Microsoft 365 admin center > Reports > Usage > OneDrive and Storage used (MB) to identify likely recording owners; this includes other files too.
  2. Run a Purview eDiscovery search over organizers’ OneDrive accounts and team SharePoint sites, filtering for mp4 and the desired dates. Check that results are genuinely meeting recordings.
  3. Divide matching recording storage in MB by approximately 400 to estimate hours, or sum known durations.

Plan and admin role. Usage reports require a reporting or administrative role, such as Reports Reader or SharePoint Administrator. Purview searching and exporting require eDiscovery permissions and an Enterprise E3 or E5 license.

Exporting the full history

  1. In Purview > eDiscovery > Cases, run the recording search and choose Export.
  2. Select Export items with items report, configure package sizes, and retrieve the packages from Overview within 14 days.
  3. For supported meetings, developers can call Microsoft Graph getAllRecordings and getAllTranscripts per organizer using OnlineMeetingRecording.Read.All and OnlineMeetingTranscript.Read.All permissions.

The Graph endpoints described here cover private scheduled meetings only; use eDiscovery for other meeting types.

Recordings and transcripts normally expire after 120 days. Expired files enter the OneDrive or SharePoint recycle bin, generally for 93 days on work accounts, subject to policy.

Call recordings belong to the OneDrive account of whoever started recording, rather than the meeting organizer.

Recording files use MP4; transcript downloads normally use VTT, with DOCX available on request.
