Finding and exporting your Xero data
Xero history is measured with reports rather than one storage meter. Account Transactions provides a starting point, while invoices and bills need their own reports for distinct document totals.

What it holds
Xero contains ledger activity, invoices, bills and bank reconciliation records. Contacts, assets, inventory and supporting files add context to the financial entries.
Where Xero shows the size
- Use an administrator role, or a standard user with reports permission, and find Account Transactions in the reports area.
- Set the full historical period and include foreign-currency columns where relevant.
- Export and count detail rows; use Receivable Invoice Detail and Payable Invoice Detail for separate invoice and bill coverage.
Plan and admin role. Use an administrator account with access to all required reports, or a standard account granted reports permission. Confirm role scope with the organisation’s administrator before treating an export as complete.
Exporting the full history
- Export the general ledger, then retrieve the chart of accounts, contacts, invoices, bills, assets and inventory from their respective areas.
- Export Account Transactions and invoice-detail reports for the entire period.
- Keep annual Balance Sheet and Income Statement reports, a Trial Balance with historical periods, and Bank Reconciliation reports.
There is no single complete-account download. Available formats vary: ledger exports include CSV/XLS, MYE and TXT; report formats also include PDF and Google Sheets.
Overlapping reports should not be added together as distinct transactions. Attachment retrieval is not covered by the general export instructions; confirm it with support.
You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
