What it holds

Module records cover sales and customer relationships, with related notes, emails and attachments. Backup packages separate structured module data from binary attachments; IMAP-synced email is not included.

Where Zoho CRM shows the size

  1. Log in with the Administrator profile.
  2. Navigate to Setup > Data Administration > Storage > Data Storage.
  3. Record the module counts from usage details and sum the relevant modules.

Plan and admin role. Administrators manage storage and backups. Free permits 5,000 records and Standard 100,000; Professional, Enterprise and Ultimate begin at 10 GB, approximately five million records.

Exporting the full history

  1. Open Setup > Data Administration > Data Backup as an administrator.
  2. Request an immediate backup or schedule weekly, monthly or twice-monthly delivery.
  3. After notification, retrieve both the module CSV archive and the attachment archive within seven days.

Paid editions include two backups per cycle and Ultimate four; Free requires a paid backup add-on.

Each ZIP is limited to 1 GB, with additional archives for larger backups.

Related modules identify accounts by ID rather than name. Most module rows use 2 KB; notes and emails use 1 KB for storage accounting.
