Finding and exporting your Zoom Phone data

What it holds

Phone logs preserve call activity, duration and recording status for users and queues. Recorded audio and voicemail can remain indefinitely unless an automatic deletion policy removes them.

Where Zoom Phone shows the size

1. As owner or admin, open Admin Center > Product configuration > Phone system > Logs in the web portal.
2. On Calls, set From and To, inspect Duration and Recorded, then Export to CSV.
3. Review the Recordings tab by date and recording type and total recorded-call durations in hours.
4. Use Admin Center > Reports > Usage Reports > Phone System for user/queue Total Call Time context.

Plan and admin role. Requires owner/admin access and either Zoom Workplace with Phone or a standalone Zoom Phone plan. Recording policies must have been enabled for audio to exist.

Exporting the full history

1. Export Calls CSVs across the required date ranges; usage-report exports permit up to 100,000 call records.
2. Open Recordings and use Download beside an item to save its MP3.
3. For a large recording inventory, ask support for bulk options rather than assuming a documented bulk-download button.

Default retention has no time limit for recordings, voicemail or call logs. Enabling auto-delete defaults to 180 days and supports 1–4,000 days, with soft or permanent deletion.

Call records associated with Zoom-assigned numbers remain for at least two years.

Recording usage reports cover at most one month per run; documented recording downloads are individual.

You don't need to run an export to talk to us, and there's no need to clean it first — removing personal data is part of our work.
